Refund policy

At Hewitt Dental, we primarily operate as a quote-based dental equipment supplier. Products displayed on our website are generally for informational, quoting, or purchasing inquiry purposes. Orders are typically finalized directly with our team rather than through online checkout.

Because many dental equipment products are manufacturer-specific, custom-configured, or special-order items, returns are subject to manufacturer approval and product condition.

General Return Eligibility

To be considered for return, items must generally meet the following conditions:

  • Return request submitted within the applicable return window
  • Item is unused, unopened, and in original packaging
  • Item is in resalable condition
  • Product is not custom-built, special-order, installed, or otherwise non-returnable by manufacturer policy
  • Return authorization (if required) has been approved by Hewitt Dental and/or manufacturer

Shipping charges are generally non-refundable unless the return is due to shipping damage, incorrect shipment, or manufacturer defect.

Manufacturer-Specific Return Guidelines

KaVo Products

  • Unopened goods may be eligible for return within 30 days of purchase
  • Approved returns are subject to a 30% restocking fee
  • Returned items must be unused, unopened, and in original packaging
  • Final approval may be subject to manufacturer authorization

Midmark Products

Most Midmark dental products are manufacturer-controlled and often require prior authorization before return. Many products, especially installed, configured, or special-order equipment, may be non-returnable. Approved returns may be subject to manufacturer review and applicable fees. If return is authorized, transportation charges must be prepaid. Risk of loss with respect to returned goods shall remain with the customer until receipt by Midmark. Items returned for credit are subject to a charge of 30% or more to cover inspection, damage in transit, reconditioning and repacking. Goods must be properly packaged and undamaged to receive proper credit. Items may be returned within 6 months from the original ship date if in a good, unused condition (Service Parts within 90 days). RMA number should be written on the outside of the packaging.

Preva Arm Exchange Program
Preva™ Arm Exchange Program: Covers new purchases only where the horizontal arm length exchange must be made within 30 days of the sale to the customer.  Once approved, the original horizontal arm must be returned undamaged. Any arms received damaged by Midmark will be billed.

DCI Edge Products

Returns may require prior authorization. Eligibility is subject to product condition, manufacturer review, and whether the item has been installed, opened, damaged, or special-ordered. Used or installed products are generally not eligible for return. Return eligibility will be reviewed on a case-by-case basis and are subject to a restocking fee.

Ray America Products

Due to the nature of imaging and specialty equipment, many Ray America products may be considered custom, configured, or special-order items and may not be eligible for return once processed, shipped, or installed. Return eligibility will be reviewed on a case-by-case basis and are subject to a restocking fee.

Damaged, Incorrect, or Defective Products

If a product arrives damaged, defective, or incorrect, please notify Hewitt Dental promptly so we can coordinate review, manufacturer support, replacement, or claim handling.

Custom Orders / Installed Equipment

The following items are generally non-returnable:

  • Custom-configured equipment
  • Installed products
  • Used products
  • Opened sterile items
  • Electrical/imaging systems after installation
  • Special-order items
  • Clearance or discontinued products (unless otherwise approved)

Return Process

To request a return, please contact Hewitt Dental with:

  • Company / Practice Name
  • Invoice or Order Reference
  • Product Description
  • Reason for return
  • Photos (if damaged or incorrect)

Return requests are reviewed based on manufacturer policy, product condition, and order status.

Refunds

If a return is approved and received in acceptable condition, refunds or credits will be issued less any applicable restocking fees, freight costs, inspection fees, or manufacturer deductions.
